How to Get the Most Out of Collaboration Software

Whether you’re sharing files remotely or communicating with team members around the world, collaboration software is a critical part of today’s global workforce. But once you have collaboration software in place, here are a few practical ways to make sure you’re getting the most out of it.

- Make it easy: If you want people to get engaged, make it easy for them. Pick a collaboration solution that’s easy and straightforward to use. Post content that motivates people and gets the discussions going!

- Bulletin: Rather than emailing important messages and announcements that concern a large number of people, post them to a group bulletin board. People can engage and comment on the items without causing inboxes to clutter up with “reply all” emails.

  • - Discussions: Keep important conversations transparent and organized on a discussions board. You never have to worry about forgetting to include someone on your email’s CC list.
  •
  • - Files: Share your documents like templates, research, and meeting notes, so that everyone has real-time access to the relevant materials.
  •
  • - Pictures and videos: Encourage a little workplace humor by sharing memes and other pictures and videos. It’ll get people interacting with their coworkers on a social level (instead of just their friends on Facebook!)
  •
  • - Calendar: Use a shared calendar to keep everyone on a team or project aware of important meetings and milestones, even if they are not directly involved. When events are transparent, everyone can both contribute and take them into account during their own planning.
  •
  • - Notifications: If notifications are too frequent, they become “noise” and people start to ignore them. Make sure you customize what you want to be notified on, and how frequently, so that you don’t miss important notifications and updates.
  •
  • - Reminders: Use reminders for tasks and events to make sure nothing slips through the cracks and everyone involved gets a prompt to act when they need to.
  •
  • So there you have it. But it’s important to remember that having collaboration software is only half the battle. How people use it makes all the difference.
